Terms & Conditions
DISCLAIMER:
Students, staff and parents must all follow a respective Code of Conduct. Furthermore, the aforementioned individuals must also follow the below policies whilst attending NRJ Dance Company or any other event/offering associated with NRJ Dance Company. By either: submitting an application form, allowing your child to attend a class, attending a class yourself, being within premises in which NRJ operates, you hereby agree to the below Terms and Conditions and accept that you will follow the Code of Conduct in place and any other supporting policies for NRJ.
NRJ Dance Company nor any of it's Directors, Staff or Volunteers accept any responsibility for the negligence of any party in following these policies and their principles.
TERM FEES/ PAYMENTS:
- Fees are payable monthly on the 1st of every month.
- Annual Membership Fees are non refundable (these do not include your class costs, this is a separate payment)
- Your booking is not confirmed until payment has been received. Paid for spaces will be given priority.
- NRJ Dance Company or any of their staff are not responsible for any loss or injury during the class.
- Students must commit to the month in full and attend all classes - therefore monthly fees must be paid for in full, even if attended in part.
- NRJ Dance Company reserve the right to remove from our programme, without refund, anyone who is found to be bullying, misbehaving or displaying disruptive behaviour.
- Payments will be refunded only if a class has to be cancelled and an alternative class is not offered in place.
- Term information including cost and payment information will be communicated openly to all parents, all information regarding our fee structure will be sent to all parents of NRJ Dance Company when signing up.
- Term fees are paid via Subscription to our Class4Kids system. Payments will be taken automatically from the bank account you sign up with on the 1st of every month.
- We don't issue refunds for missed sessions due to your own circumstances.
- All scheduled holiday dates have already been deducted from our fee structure.
- You must contact us directly to cancel your child’s space in our classes, your subscription cannot be cancelled until you have done so. On receipt of cancelling your class, you will be liable for the next subscription payment before the space is cancelled. Please note your subscription payment will continue until you give us written notice of cancellation, in which our 4week paid notice period stands.
- NRJ cannot and will not provide refunds for holidays or other commitments or to students who leave mid-term
- Any payments that fail on the 1st of the month will incur a £5 late payment charge, and an additional £5 late charge will be added for every failed attempt thereafter. Our fees are always due on the 1st of each month so we ask that parents have sufficient funds in their accounts for the payment to be taken, so not to incur the late charge.
REGISTER, ATTENDANCE AND ABSENCE:
- A register for each class is maintained by the teacher who records student attendance for the purposes of health & safety and security
- Students are expected to attend the full month and should only miss classes if they are unable to attend due to illness
- Parents must inform NRJ Dance Company that their child is not able to make class by email or phone (email nrjdancestudios@hotmail.com or by phone 07794964865)
- If a student fails to attend class on 3 or more consecutive sessions without contact to let us know, the space will be allocated to someone else on the waiting list. Your subscription however will still continue until you cancel your space.
- If a class is cancelled due to the sickness of the teacher, a health epidemic or any other seen or unforeseen event, NRJ will endeavour to reschedule/rearrange the class. This may be on a different day/time or both from when the class was originally scheduled and might involve an extension to the term-time dates. The rescheduled/rearranged class may also be at a different venue within a reasonable distance from the original. No refunds will be given if a class is rescheduled/rearranged. Where we are unable to reschedule a class, you will then be refunded for this cancelled class. (subject to Fee Structure)
- You must declare all medical conditions during registration and keep us up-to-date should this change by emailing/calling us at *relevant contact details*.
- You must refrain from bringing your child to class if they have had any form of illness within 48 hours of the class.
RIGHT TO ATTEND, CHANGE CLASSES AND WITHDRAW OR TERMINATE ATTENDANCE:
- All current NRJ students are guaranteed a space in a NRJ class* and will be automatically enrolled into the next month
- It is the Parent's/Legal Guardian's responsibility to inform us at least 4 weeks in advance of the new month starting, if their child is NOT returning to the class
*Depending on class availability, current students may not be placed in the same class in the new month. Any change will be communicated in advance of the new term starting, via email. If your child moves into a different age group e.g. moving from Primary to Secondary school, they may be required to attend a different class. Parents should make NRJ aware of any moves not apparent to us already, in advance (at least 4 weeks prior to the new month starting).
ACTIVITY PROVIDER:
- NRJ Dance Company is an activity provider - not a care provider. NRJ therefore recommends that a Parent or Legal guardian remains on-site for the duration of any classes or offering. It is the sole responsibility of the Parent/Legal Guardian to leave the grounds of any site where NRJ carries out classes whilst a child attends for the duration, and should only do so under the trust and knowledge that their child is competent enough to look after their self and attend toilet facilities on their own. NRJ instructors are PVG checked and First-Aid trained and will always ensure the health, safety and security of students is of primary importance at any classes however NRJ and NRJ staff cannot provide personal care - which remains the responsibility of the Parent/Legal Guardian. Instructors are there only for the supervision of the activity to ensure it is carried out appropriately and safely. There should be no adults in the room other than NRJ staff during any class as this may create distractions for the students - if you choose to remain on-site, please do so only within permitted areas/grounds.
PHOTOGRAPHY:
- You must declare if you do not want your child to be photographed for marketing use, and keep us up-to-date should this change using the given email address or phone number.
- We must have your full and explicit consent to take photography or record videography for either yourself, or for your child if they are under 18 years of age. Your consent may influence some of the activities your child is able to take part in.
- Parental filming/photography is permitted - only for your own child. Any material or footage taken must not include any other children. In such cases where other children are in photography or footage, this must be erased by the person responsible and especially not shared on any platform unless permitted by the child's parent/guardian(s).
- All Images/ Videos recorded by any NRJ instructor can be used for Promotional/ Social Media Purposes. By signing your Terms & Conditions, you agree to consent to do so.
PRIVACY:
- NRJ Dance Company as a business we collect, process and hold certain pieces of personal data when parents/individuals book our offerings or when attending our premises, these are held on our secure Dance School System and is only of use to NRJ Dance Company and their Staff.
CODE OF CONDUCT
NRJ Dance Company aims to promote an inclusive, supportive and happy environment for children, young people and adults alike. We therefore expect everyone follow these principles and procedures to ensure this desired environment is maintained.
STUDENTS
We expect NRJ students to follow and adhere to the following principles whilst at NRJ Dance Company or attending any NRJ offering. If NRJ determine any breach of the below to be of a serious nature e.g bullying - students will be suspended from attending NRJ with immediate effect. Students therefore must:
- Wear suitable clothing for dancing or required Class Uniform
- Bring at least a bottle of water to any NRJ Classes or offering
- Make NRJ a FUN place to be - for everyone!
- Practise any material at home if required (for shows etc.)
- Be friendly and welcoming especially to new students/participants
- Be supportive and loyal to other students/participants
- Always include everyone and do not isolate anyone
- Take care of any equipment/belongings that do not belong to you
- Respect all peers, adults and NRJ staff regardless of: age, gender, ability, race, cultural background, religious beliefs or sexual orientation/identity
- Respect the instructions and decisions of adults and NRJ Staff
- Report inappropriate behaviour immediately to an adult, DSO (Designated Safeguarding Officer Nikki Mcandrew) or NRJ Staff
- Not use phones during classes you attend
- Not bully, make inappropriate remarks, be violent or aggressive to anyone - this includes any of these actions over the internet/online
- Not leave any premises during a class without adult or staff permission
- Not use bad language
- Not get involved in inappropriate peer pressure or pressure anyone else
- Not inappropriately disrupt any NRJ Class or offering
- Not smoke or consume any alcohol or drugs at any class venue or whilst representing NRJ and/or NRJ offerings
Students have a right to:
- Be safe and happy in their chosen activity
- Be listened to
- Be respected and treated fairly
- Privacy
- Be referred to professional services for help if needed
- Be supported regardless of personal background
- Ask for help
- Have any concerns taken seriously and acted on
Students are responsible for reporting any incident if unnoticed by an adult or member of NRJ staff. NRJ will not force any student to speak up or report anything they do not feel comfortable reporting - in such cases, NRJ have the right to refer to professional services for advice. NRJ will always aim to involve parents/guardians in any such process as advised by any appropriate professional service.
PARENTS ITS YOUR TURN….
FOR PARENTS:
Parents/Legal Guardians play a pivotal role in the development of their child through encouragement, belief and support. To ensure students get the maximum from NRJ classes and/or offerings, we ask all parents/legal guardians to follow these principles. As parents/guardians, you are expected to:
- Positively reinforce your child & show interest in their chosen activity
- Detail all medical information during registration
- Inform any changes in medical info to NRJ immediately
- Ensure that contact details are always up to date
- Ensure our 'Terms & Conditions' have been read - T&C's are automatically agreed to if a child is enrolled to a NRJ class
- Adhere to all NRJ policies/conditions on registration
- Be on time for drop-off and collection
- Always remain on-site of any NRJ Class or offering within permitted areas if you wish to supervise your child
- Only leave the site of any NRJ Class or offering if you believe your child is able to care* for their self for the duration
- Inform NRJ staff if your child is to be collected early or by another responsible adult
- Ensure your child has the correct clothing and refreshments at class
- Inform NRJ immediately if your child has any contagious illness and refrain from allowing your child to attend any offerings until well again
- Ensure your child always wears appropriate footwear
- Ensure that your child understands their code of conduct above
- Encourage your child to play by the rules
- Behave responsibly during any class, offering, competition or show
- Be respectful to other parents
- Accept and respect the decisions/instruction of NRJ staff
- Be patient and supportive with any sign-in and sign-out procedure in place at any NRJ class, offering or show
- Ensure that all relevant fees/ costs are up to date
- Inform NRJ if your child will not be returning to class
- Be aware that it is sometimes necessary for instructors to professionally use physical contact for the purposes of movement and posture improvement/instruction
- Discuss any concerns or queries with a member of NRJ staff only
*Care relates to the child's ability to attend the toilet facilities on their own. NRJ staff will always ensure the safety of the children whilst on-site however the primary care and supervision remains the responsibility of the child's parent/legal guardian at all times. NRJ Instructors will only supervise the activity being carried out to ensure it is done so appropriately and safely. NRJ do not take any responsibility for the failure to make classes or collect on time due to car park congestion and parents should plan their journeys to account for any traffic or congestion and en-route .
Parents/guardians have a right to:
- Be assured that your child is safeguarded as per the NRJ Safeguarding & Child Protection Policy during their participation
- Be informed of problems or concerns relating to your children
- Be informed immediately if your child is injured
- Know that your child's instructor is registered on the PVG Scheme
- Discuss any specific requirements etc. with a member of NRJ staff
- Have your consent sought in advance for: trips, photography and any other activity or action carried out in relation to NRJ Dance Company
- Contribute as you see fit and volunteer only if you wish
- Have any concerns about any aspect of your child’s welfare listened to responded to
DISCLAIMER:
Parents who attend or allow their child to attend, Students who attend and Staff who work on behalf of NRJ Dance Company are obliged to follow their own Code of Conduct highlighted above. The NRJ Code of Conduct Policy will be reviewed regularly and updated as necessary. We politely ask that all students, parents and staff refer and adhere to the above at all times to not only ensure that NRJ Dance Company is a FUN place to be but also a SAFE place to be. NRJ Dance Company and/or NRJ staff do not accept any responsibility for the failure to adhere to any of the above.
